Department Allocation Grant Requests
What is that item(s) that your department has always said “I wish we had”? it may be calculators for math classes, a microscope for science, cones for janitorial clean ups, computer monitor for security team?
This is your chance to request materials that are needed for your Department, club or the school as whole. There is not a dollar limit however the board will try to distribute available funds fairly. Please help us spread the word… any department is eligible to make a request this includes Media center, Janitorial staff, etc. Just fill out one of the forms to the right. Remember the sky is the limit don’t miss this opportunity! |

South Mecklenburg High School PTSA Sponsored Department Allocation Program
The PTSA is once again providing funds for classroom instructional needs and supplies. Each department/teacher/counselor will have from October 1st through March 30th to use his/her allocated funds.
What is Teacher Allocation and how does it work??
Teacher Allocation allows for more autonomy as to how to best spend PTSA funds to meet the needs of as many South Meck students as possible.
Where do Teacher Allocation Funds come from? All funds are from donations made to South Meck High School by South Meck families and supporters in the community.
What types of purchases will Teacher Allocations fund? Consumable supplies for classroom activities/science labs, shared workroom/office supplies, calculators, classroom novels, professional development and PE equipment are just a few examples of what Teacher Allocations should be used to purchase. The budgeted $100 per classroom can be combined by multiple teachers to support multiple classroom and/or departmental needs of higher price items. Gift cards will NOT be funded as per state PTSA guidelines.
How Do Teachers/Staff make purchases and get reimbursed?
All expenditures must support the goals of the school and the PTSA. We want to provide as much support to all departments and classrooms as we can with the funds we have available .

- Each teacher will receive an email after the general membership meeting with the amount of his/her allocation dollars for the 2017-2018 school year.
- In order to avoid unnecessary duplication, please check with CMS and your department to make certain that your item cannot be obtained in another manner.
- All items purchased using PTSA funds are for education and classroom use only and become the property of South Mecklenburg High School as a gift from the SMHS PTSA. Items may not be removed from school grounds.
- According to NC PTA bylaws 11.6: All expenditures of this local PTA must be consistent with the approved budget and based on actual fund availability. All reimbursements for expenditures will be contingent upon actual fund availability.

- Obtain approval for your purchase from our Teacher Allocation Chair, Kim Miner for the 2017-2018 school year. She will respond with your approval and a copy of the reimbursement form. Original receipts must be presented with reimbursement form and placed in PTSA bin or mailbox at front office.
- When possible please have vendor send an invoice or ask if the PTSA can pay with a check.
- When possible, please use the PTSA Tax Exempt Letter when purchasing items.
- Purchases without receipts and forms turned in within 30 days of purchase date, will be considered donations to the South Mecklenburg High School unless you notify Kim Miner with your circumstances.
